Microsoft Forms, Google Forms, SurveyMonkey and Typeform for community research

Compare four survey tools for English community research by respondent access, question design, collaboration, data handling and export needs.

What to take away

  • Decide on respondent access first. If external members cannot open and finish the form without an account, no other feature rescues the study.
  • Microsoft Forms suits Microsoft 365 organisations; Google Forms suits Google Workspace teams running straightforward questionnaires.
  • SurveyMonkey suits studies needing complex logic and reporting; Typeform suits short, one-question-at-a-time studies.
  • Prices and free-plan limits change, so they are excluded. Test the exact journey before you commit, because desk research cannot settle accessibility, procurement or security at account level.

The five criteria that decide the comparison

Compare the four tools on respondent access, question types, collaboration, data handling and export routes, in that order. The first criterion removes options fastest. Product pages were reviewed on 5 September 2026 and no product was tested.

Five survey comparison criteria

  • Respondent accesscan they open and complete?
  • Question types fit the analysis
  • Colleague collaboration and ownership
  • Where responses are stored
  • Export and deletion routes

Microsoft Forms

Respondent access
Anonymous or organisation-only links, set by tenant policy
Question types
Choice, text, rating, Likert grids
Collaboration
Shared in the tenant, tied to a named account
Data handling
Responses held in Microsoft 365
Export and deletion
Excel workbook; owner deletes responses

Google Forms

Respondent access
Open link or domain-restricted sign-in
Question types
Multiple choice, scales, grids, file upload
Collaboration
Co-edited in Drive under file permissions
Data handling
Responses held in the form or in Sheets
Export and deletion
Sheets or CSV; delete through the form

SurveyMonkey

Respondent access
Web link, email invite, embedded collectors
Question types
Question bank with logic and quotas
Collaboration
Team seats and shared folders
Data handling
Hosted responses with analysis
Export and deletion
CSV and spreadsheet exports

Typeform

Respondent access
Public link, no account needed
Question types
Conversational flow with logic jumps
Collaboration
Workspace sharing and roles
Data handling
Hosted responses with a results view
Export and deletion
CSV and spreadsheet exports

Respondent access is the first filter

A survey a customer cannot open wastes the fieldwork. Test the route your sample will use, not the route that suits the researcher.

Microsoft Forms accepts outside responses only when tenant settings allow it. Google Forms opens to anyone with the link, or restricts to a signed-in domain.

SurveyMonkey and Typeform both let respondents answer without creating an account. That matters when you research prospective members rather than colleagues.

If you recruit through a public post, check when a community post counts as advertising, because incentive-led recruitment can look promotional.

  • Confirm the invitation opens on a phone without installing an app.
  • Check whether a sign-in is required, and who can obtain one.
  • Test the progress indicator and every validation message.
  • Record any group the chosen settings exclude from responding.

Question design, collaboration and ownership

Microsoft Forms is presented by Microsoft as a survey, poll and quiz tool inside Microsoft 365, keeping identities and collaboration in one tenancy.

Question types should follow the analysis, not the template library. Rating grids suit attitude scales; file uploads suit evidence gathering.

Ownership is the quiet risk. A Microsoft Form belongs to the account that created it, and a Google Form sits in one person's Drive.

Agree the handover before you build. To see how vendors describe their own tools, read how six community platforms present their claims.

Where responses go, and how they come out

Responses stay inside the tool until you export them. Microsoft Forms sends results to an Excel workbook; Google Forms writes to a linked Sheet.

SurveyMonkey and Typeform export options depend on the plan, so test the exact file your analysis needs.

Deletion deserves the same test. Confirm how one response and a whole survey are removed, and whether removal is permanent.

A spreadsheet destination can widen access to answers beyond the research team. Set sheet permissions before the first response arrives.

UK consent, incentives and retention

The ICO explains the controller and processor distinction. A supplier is usually the processor, while your organisation decides purpose, lawful basis and retention.

The Data Protection Act 2018 sits alongside the UK GDPR as the statute governing that processing across the UK.

Avoid collecting names, email addresses or sensitive details by default. Where an incentive needs contact details, hold them separately from the answers.

Set the retention date before fieldwork begins. Our guide to applying UK data protection to a community follows the same purpose-first order through member rights.

Example: a five-step selection test

A five-step selection test

  1. Draft the hardest question type and routing rule your design needs.
  2. Build the same short survey in all four tools.
  3. Send it by the route your real respondents will use.
  4. Complete it on a phone with a screen reader, then by keyboard alone.
  5. Export the data, delete the trial responses, and record the date and settings.

Repeat the test next quarter; the recorded settings should give the same answer.

Make selection reproducible

  1. Create test survey with hardest question type
  2. Include routing rule and accessibility case
  3. Include export test
  4. Use same script in each shortlisted tool
  5. Record product page, plan and settings
  6. Record test date, reviewers and unresolved issues

Common questions

Which of the four should I choose for community research?

Start with respondent access. If members must reach the form without an account, choose Google Forms, SurveyMonkey or Typeform. If everyone uses Microsoft 365, Forms keeps identity and collaboration together.

Can I run member research from a personal account?

No. A personal Google or Microsoft account leaves ownership with one individual. Use an organisational account and name a successor.

What UK rules apply to survey responses?

The UK GDPR and the Data Protection Act 2018 apply, regulated by the ICO. You need a lawful basis, clear consent wording and a retention period before fieldwork starts.

Do I need to test accessibility?

Yes. Pilot on a phone, a keyboard and a screen reader, then record what failed.
